Persons and groups may, and are encouraged to, attend open meetings of the Board of the Peace River Regional District. For those persons wishing to address the Regional Board as recognized petitioners or delegations, the following guidelines have been established.
We ask for advance notice of your request to speak before the Board. It is recommended that you request your meeting date at least one week prior to the regular board meeting date.
Guidelines
1. Send request letter by mail or email and ensure that it arrives no later than 10 days prior to the meeting you wish to attend.

2. Presentation times fill up quickly, so it is to your advantage to request a date and time well in advance of the meeting date.
3. The letter should state the subject matter, name, address of the petitioners or spokesperson.
4. Attach any background material to your letter/email as these items will be included in the electronic and printed agenda packages. Electronic files are appreciated.
5. If you are unable to attach the background information, but would like to distribute at the time of the meeting you are required to provide 20 copies of your materials.
6. Policy dictates that each delegation or spokesperson is allotted a maximum of 15 minutes.
7. The Regional District will contact each delegation/petition spokesperson to arrange a mutual convenient time for appearing before the Regional Board on its regular meeting day and to determine audio visual/presentation requirements.
Appeal Process for Meeting Deadlines
If the petitioner or delegation fails to meet the guidelines above, and is not scheduled for their preferred meeting schedule date, or the meeting schedule is full an alternate date will be set. The petitioner will be consulted and advised of the alternate date available.
Petitioners or delegations wishing to appeal this policy may do so by contacting the Chair of the Peace River Regional District by telephone numbers provided below.
If the appeal is successful, the petitioner or spokesperson will attend the meeting date as determined by the Chair, and will be responsible for providing 20 copies of their information to be presented at, or before, the time that they address the Board of Directors.
